Shirt bar vs swag — shirt bar rental guide

Every event planner eventually faces the swag question: order a pile of pre-printed shirts, or bring a live shirt bar? Here's the honest comparison we walk clients through.

Cost

Pre-ordered swag looks cheaper per unit until you add warehousing, shipping, the sizes you over-ordered, and the boxes that never get opened. A shirt bar rental — starting around $5,000 for a local staffed package — bundles the shirts, the experience, and zero leftover inventory into one line item that usually comes in at or below the all-in cost of pre-printed gear.

Waste and sizing

Pre-ordered means guessing sizes months out and eating the mismatch. A shirt bar has guests pick their own fit and color at the event, so there's no wrong-size pile and nothing left over. Whatever isn't made isn't wasted.

Wow-factor

This is the real difference. A stack of folded shirts on a table is forgettable. A live bar where guests design and watch their shirt press becomes the attraction — a line people want to stand in, a photo moment, and organic social posts in your branding. Pre-ordered swag can't buy that.

When pre-ordered still makes sense

If you need identical staff uniforms or a single-color design in huge quantity, pre-printing (or screen printing in advance) is the right call — and we can do that too, then run the bar for the live personalization. For everything else, the bar wins on cost, waste, and impact. Compare the numbers on our pricing page.
